This handbook is a compilation of the policies, procedures, working conditions, and behavioural expectations that we hope will guide you when working with us.

We believe that by putting forth a shared approach to addressing workplace issues, we have the best potential to create a harmonious, fair, employee and employer supportive workplace.

We hope that you, as an employee will always know what is expected of you at work. You are aware of how your employer will handle and implement the company's rules and processes, as well as what you can expect from us as an employee. Finally, the handbook serves a quick reference guide to a great deal of information that employees need at work.

You are expected to review and become familiar with the contents of the employee handbook. To demonstrate that you have read the employee handbook and accept its terms, we ask you, the employee, to complete the form at the end.

A start up is just like a career ladder. You have to start from the beginning to get to the end. We started from the bottom too so we totally understand how you feel. It all begins from DAY ONE. A BIT ABOUT US
Tubudd was born in Manchester, 2017, due to a group of young and passionate people realising that everyone needs someone to help them dealing with language barriers, scams, getting lost and boring trips when travelling. That “someone” is a local buddy.
Launching the 1.0 App version in July 2018, Tubudd has become an online travel platform that showcases and connects local buddies to travellers.
To bring people closer together by creating a connection between all travellers and local buddies when traveling across the borders, to different culture and languages. 

To connect travelers and people with different skills that enable discovery, growth, and positive change for the local communities.

VISION

We built TUBUDD out of a shared belief that people travel to understand the world better, while using technology to enable humanity to connect better. This is best done with connections to local people.

Through authentic travel experiences with selected local buddies, TUBUDD's users truly embrace local culture. They expand their understanding. They build memories that last.

Our growth of 100,000 buddies across South East Asia region by 2028 depends on quality experiences between our business and leisure travellers and our local buddies. That's why our focus will always be on exceeding the expectations of these people.

CODE OF CONDUCT
Employee Behaviour
We can find strength in diversity. Different people have different perspectives on issues, and that can be valuable for solving problems or generating new ideas.

Being unable to understand why someone holds a viewpoint doesn’t mean that they’re wrong.
Don’t forget that we all make mistakes, and blaming each other doesn’t get us anywhere. Instead, focus on resolving issues and learning from mistakes.

PAY

As a contracted employee of Tubudd (any member other than intern) it is your right to receive pay for work done. You will be payed on the 10th of each month, working one month in hand.
The payment will be made directly into your account. It is your responsibility to ensure that you supply the right banking information to the HR department.

COMPANY DISCOUNTS

Tubudd provides travel services of which you’re entitled to get a discount on.
The discounts available are:
▸  Local buddy 100% discount up to the value of $100. 12 days per year.
▸  Transportation (domestic): 10%

BIRTHDAY GIFT

You will receive 500.000 VND as a present from Tubudd on your birthday!

NON-CASH BENEFITS
▸ Extra 4 paid days off 
At TUBUDD, full-time employees receive 4 extra paid days off in addition to their standard leave entitlement. This means they have additional flexibility to take time off while still being compensated. These extra paid days off could be used for personal matters, vacations, or rest, helping to improve work-life balance and overall job satisfaction.

▸ Company Laptop
If you don’t have your own laptop, we have a company laptop scheme which can help you spread payment costs with monthly deductions to your salary. Please contact HR regarding this.

▸ Freedom
Coming to work shouldn’t be a chore, that’s why we are quite lenient with punctuality. Being late isn’t an issue just as long as it isn’t for an important meeting.
Please respect our leniency and don’t abuse it.
▸ The salary for an employee during the probation period is 80% of the salary for the job and must be agreed upon by the two parties.

▸ Based on performance, commitment, or just general suitability for the role, the probationary period usually last for 2 months.
TRIAL PERIODS
TIME OFF POLICY
Leave for personal matters, or extended absences.
If you need to take a long leave, please inform the Administration Department with the reason and duration of your absence for approval from the HRM and CEO.
Personal Leave
If you are a full-time employee, you are entitled to 16 days of annual leave and public holidays as regulated.

Below are the official public holidays in Vietnam, HR will provide specific holiday schedules accordingly:

Paid Time Off
If you need to have prolonged absence from work, outside of given sick days and incurred holiday pay, please inform our Admin with your reason for leave and duration of absence to get the approval from HRM and CEO. 

Failure to notify your leave will be considered Absence Without Leave (AWOL). The company reserves the right to terminate your contract if you are absent without reason for 03 consecutive days.
IMPORTANT
Sick leave, Parental Leave, Family Leave
We understand and sympathize with emergencies. Please communicate with the HR department when necessary.
Applicable when you have used up your paid leave but still require additional time off.
Unpaid Leave
ATTENDANCE POLICIES
Our attendance expectations are as follows; if you’re a full-time, in-house member of staff, be present at 9AM. We are a tolerant company and we understand that personal things happen so if you’re late, please inform your manager at least 30 minutes before your shift starts.
Some terms for you to understand:
Manager is notified by employee 3 days in advance that employee will be absent from shift
▸ Absence
Manager is notified by employee 1+ hours in advance that employee will be absent from shift, due to emergency or other unexpected cause.
▸ Unscheduled absence
Employee shows up at least 15 minutes after scheduled shift start.
▸ Tardiness
Tubudd Work from Home (WFH) Policy: Employees may work from home with prior approval, receiving 70% of their regular salary while maintaining full responsibility for their tasks.

Work hours remain the same, and all deadlines, meetings, and communications must be met on time. Employees must log daily progress, ensure productivity, and stay responsive.

Failure to deliver work as expected may result in further salary deductions, loss of WFH privileges, or disciplinary action. WFH is limited and subject to management approval.

Employee is absent from shift due to illness or doctor’s note.
▸ No-show
Lunch time! Please take a 30-minute break to recharge your batteries and have some food. Throughout the day toilet breaks are allowed when needed.

FYI
During your free time, you are free to engage in personal activities. However, it is against company policy to consume alcoholic beverages or use illegal drugs, both during working hours and in the hours leading up to your shift.

Tubudd’s property remains the company's throughout your employment. Please respect and return it in the same condition you received it, with minor wear and tear being acceptable. For any issues such as hardware/software malfunctions, cracked screens, or broken devices, please contact HR for assistance.

We encourage self-expression at work, and our dress code is casual. However, please avoid wearing inappropriate attire like swimsuits or superhero costumes (save those for the Halloween party). Professional attire is preferred.

Upon termination of your contract, you are required to attend an exit interview, return all office supplies and borrowed technology to HR, submit a complete handover file, and collect your remaining salary on the next payday.

This handbook is not a contract and does not guarantee employment for any specific duration. Employment may be terminated at any time by either party, in accordance with legal requirements.

Companies grow and policies are almost guaranteed to change.
If there are any amendments  or updates to the current employee policies you will be formally notified by your supervisor.

During the contract period and for 24 months after leaving the company, employees are prohibited from:
- Disclosing or providing company business secrets or confidential information to external parties.
- Cooperating, manufacturing, trading, or acting as an agent for products, customers, or services similar to those of the company without prior written consent.
Any violation of this clause will result in legal action.

DISCIPLINARY ACTION
Disciplinary Action refers to disciplinary measures or actions taken against employees who violate company regulations, internal policies, or work standards.
The level of disciplinary action will depend on the severity of the violation.
Disciplinary actions will be reviewed and approved by HR before implementation.

Reasons for disciplinary action include, but are not limited to: unprofessional conduct, excessive or repeated absenteeism/tardiness, and failure to notify a supervisor when leaving the office or taking time off.

POLICY AND GUIDANCE FOR DOMESTIC AND OVERSEAS BUSINESS TRAVEL
✤ Key principles and limits table
Approval Requirements: CEO and/or direct manager’s approval email is required, including detailed travel schedules (departure/arrival dates, number of nights, transportation, hotel name, hotel charge per night).

Advance Requests: If advances are needed, CFO approval is required. Include the CFO in the travel request email for advance approval. The email must also present an estimate of total costs (transportation, accommodation, meals).

Final Payment Request: Submit the request for final payment/settlement to the Accounting & Finance team within 10 days of completing the trip.

Supporting Documents: Provide legitimate invoices, tickets/e-tickets (with regulatory details such as fee, dates, itinerary, buyer/seller info), and receipts (including company details). Seek Finance & Accounting guidance for any issues or uncertainties prior to the trip.

Domestic Travel: For expenses exceeding or equal to VND 20 million, payments must be made via bank transfer by the Company

Overseas Travel: Convert all foreign currency expenses to VND using the Vietcombank selling rate on the payment date.
✤ Business trip approval procedures and Advance/reimbursement procedures
The policy provides:
▹ Specific instructions for all employees including management levels (C-level) when travelling on domestic and abroad business trip;
▹ Approval and claim process of business travel expenses

This policy shall apply to all employees performing under labour and service contract throughout the Company.
▸ Objectives and applicable object
These guidelines are designed to ensure that Tubudd's staff and management uphold the highest standards of business ethics, integrity, and honesty, while complying with company and Vietnamese regulations.

All employees and managers (travelers) are responsible for cost-effective business travel. While these guidelines are comprehensive, travelers should apply them conservatively and use good judgment when situations arise that are not specifically covered. If unsure, please consult with Finance & Accounting.

These Policies and Guidelines shall take effect from 1st July 2020.
